To host a team building event in 2020 is quite challenging. First, because of Covid 19, company doesn’t allow employees gathering together closely and eating together to avoid possible infection. Secondly, due to tough economy and tight budget of company, how to hold a cost-efficient but interesting event becomes our top challenge.
My learning from planning – Welcome new ideas
Before we have our brief brainstorming about Halloween event, I was thinking maybe just hold a simple lunch party having pumpkin related food. Somehow, after brief brainstorming we all agreed to keep Halloween spirit is to encourage participants to create their own things. Based on this concept, we started to search for different plans on the internet and brainstormed several possible proposals including making food monsters, creative pumpkin sandwich, or last but not least Halloween lanterns. After evaluating cost and effects from convenience, hygiene, presentation to cleaning, we decided to choose making lantern as our activity core!!
Feedback and learning 1 – materials and processes
Some people feedback the materials were not enough for everyone to use, which caused many people delayed their processes such as spray paints and then delayed whole activity time accordingly.
Maybe next time we can try to do a lantern test by ourselves before the event. In this case, we could further understand how much exact time we needed for each phase and how many tools and materials we actually required.
Feedback and learning 2 – demonstrate a sample and show design requirements
There are some feedback about having no idea at all when they started to work on the lanterns, others just directly followed their minds and went straight forward to finish all. In this case, although we later received many kinds of different concepts, some of works might not have rich Halloween elements.
In order to make our all lanterns more unified, we think next time we could demonstrate some samples or images to give designers more ideas and imaginations within a design range. And, we also can list basic design requirements and targets to make all lanterns look integrated and unified.
Feedback and learning 3 – Organized presentation, voting and awarding
Although it’s surprised and happy to see everyone was satisfied and pleased when they presenting their own lanterns. We later realize the overall processes and environment of presentation and awarding are not well-organized for happy ending.
For next time, maybe we can arrange a dark room with light-up lanterns, which can improve lantern’s presentation and light effects as well as express the real design feeling.
There is no end to learn. There is no end to improve. i believe if we really take care of some details the overall event would be more pleasing and memorable.
